How to Add Shipping Charges to an Invoice in Fulfillment
Adding shipping charges to an invoice in Fulfillment ensures that these costs are accurately reflected in the invoice total. This guide provides step-by-step instructions for adding shipping charges, whether the invoice is in progress or saved but not yet sent.
Overview of Charges and Allowances
In Fulfillment, shipping costs can be added as a Charge or an Allowance. Charges increase the invoice total, while allowances reduce it. To ensure shipping costs are included in the invoice total, they must be added as a Charge.
Steps to Add Shipping Charges
Follow these steps to add shipping charges to your invoice:
Open the Invoice - Navigate to the invoice in Full View.
Locate the Charge/Allowance Section - Since a Shipping Charge would apply to the entire order total and is not specific to only certain items on the order, this will usually be done in a Charge/Allowance section in the Summary tab. If you want to add a Charge at the item level (for example, a charge related to a specific item and not the entire order), look for a Charge/Allowance field or dropdown when you add a line item.
Add Shipping as a Charge - In the Type dropdown, select Freight Charge (not Freight Allowance). Ensure the Indicator field is set to Charge.
Enter the Shipping Amount - Input the shipping cost in the designated field. This will ensure the shipping cost is added to the invoice total.
Important Notes
Unsent Invoices: If the invoice has not been sent, you can freely edit it to add shipping charges.
Sent Invoices: Once an invoice is sent, it cannot be edited. In such cases, create and send a corrected invoice.
Troubleshooting Common Issues
Freight Not Included in Total: Ensure the shipping cost is added as a Charge and not an Allowance.
Incorrect Indicator Setting: Verify that the Indicator field is set to Charge to ensure the shipping cost increases the invoice total.
By following these steps, you can accurately add shipping charges to your invoices in Fulfillment, ensuring they are reflected in the invoice total.
