Actioning on Documents in Fulfillment

In this article we will walk through what actions are available from the document list in the Transactions tab.

This is part three of the Transactions tab series. The Transactions tab is where you can search, view, and action on all documents you have received, saved, or sent from your SPS Commerce account. Go to other parts of this series with the links below.

Where to take Action

Single Document Actions

Click the Actions ellipses on the right side of a single document you'd like to action on.

Multiple Document Actions

Select a document or multiple documents by checking the box on the left in your document list. An Actions Panel will appear on the bottom of the screen allowing you to action on several documents at once.


Available Actions

Note - Some actions are only available for certain document types.

Actions for all documents types

  • Favorite: Mark the document as a Favorite. This is for internal reference only. Your Trading Partner will not receive a notification that the document has been Favorited.

  • Edit: This option will only be available for saved return documents you are creating.

  • Print Shipping Documents: Generate shipping documents based off the selected documents. This could include a pick list, packing slip, or shipping labels.

  • Download: Download the document(s) data to a CSV file. You can choose to consolidate all selected documents into a single CSV file or create a separate CSV file for each selected document.

  • Create New: Create a new return document using the selected document(s) as a source. You can also click the blue Create New button in the top right to perform this action.

    • Clicking the blue Create New button in the top right without first selecting a source document will let you create a free form document. Free form documents could include Open Orders, Inventory Advices, etc.

  • Print: Print the standard business view form for the selected document(s).

  • Edit Tags: Edit or create customized keywords attached to your document(s). Select an existing document tag or create a new tag and click Save.

    • To remove a tag, click the X to the right of the tag you would like to remove. This will only remove the tag from the selected document, not delete it from your account. There is a 30-character limit for tag names.

  • Workflow: Display a panel on the right side of the screen with all documents to be exchanged for that Trading Partner. The workflow will show any document already created or sent and the status as well as an option to create new return documents.

  • Comments: Display a comments panel on the right side of the screen. Add comments to the document that your team can see or view comments already added. Comments are internal only so your Trading Partner will not be able to see comments.

  • View Delivery Details: Open additional details within Fulfillment Monitor.

Actions for some document types

  • Quick Send: Some documents, like the Acknowledgement, can be set up to send from an Order with just one click. Some additional Auto Sourcing Preferences are required to be set up for this to work. Learn more here.

  • Close Workflow: This will move the status of an open Order to complete. You will be prompted with a message that all related documents in the workflow will be considered complete if you continue.

    • Closing the workflow means that the Order will not show up in the Dashboard, Insights, or any "Ready for" Advanced Search.

  • Mark As Open: Revert a previously closed workflow back to open.

  • Delete: Only available for saved documents that have not been sent.

  • Archive: Archived documents will not display by default in your Dashboard or Transactions tab searches. You can choose to include Archived documents in an Advanced Search.

  • Accept: Only available for new Order Change documents. Accepting an Order Change will create a new Order with the accepted changes or cancel an Order depending on the Change type.

  • Reject: Only available for new Order Change documents. Rejecting an Order Change will allow you to action on the original Order without the new changes.

    • Your Trading Partner will not be notified if you reject an Order Change. Contact your buyer if you are unable to accept an Order Change.
