Storing Secure Credentials

Grant Access, Add Credentials, and Share them Securely in Commerce Platform

SPS Commerce provides a free, secure way to store login credentials for connection types including sFTP, FTP, AS2, URL with Bearer Token, DMEDI, Remote Access, D365, Cloud, and more — so passwords never need to be shared over email or chat.

Who this guide is for: SPS customers and SPS internal team members using commerce.spscommerce.com.

💡Before you begin: You must be an Organizational Admin to grant access and to share credentials. If you do not have admin rights, learn more about it here or contact your organization’s SPS admin.

Lesson 1: Grant Access to the Credentials Tab

An Organizational Admin must grant permission to the Credentials tab before anyone in your organization can create a secure place to store log in credentials. More information on Organization admins can be found in the help article here. If you are not an admin, reach out to your Organization Administrator to complete the steps below to get you set up. Once you have access to the Credentials tab, you can continue to Lessons 2 and 3 to create and share log in information securely.

  1. Click Admin in the top navigation menu to open user management.

  2. Click Invite New Users to add a new team member. To update an existing user, click Edit next to their name on the Admin tab instead.

  3. Enter the user’s First Name, Last Name, and Email Address. Check Is Admin only if the user also needs administrative privileges.

  4. Under Product Roles, find the Credentials Exchange UI field and select Credential and Connection Exchange User. The role appears as a blue tag when applied. Add any other roles the user needs.

  5. Click Send Invite to email access instructions to the user. If you are editing an existing user, click Save instead.

Send the invitation.

Result: The user now has the Credentials tab available in Commerce Platform and can move on to Lesson 2.

Step 2: Create and Store New Credentials

Once you have the Credentials tab, you can add login information for any supported connection type. The form adjusts based on which type you choose.

  1. Log in to commerce.spscommerce.com and click the Credentials tab.

    The Credentials tab shows all saved credentials for your organization.

  2. Click the + Create button (top right) to start a new credential entry.

  3. Choose a connection type from the Type drop-down: sFTP, FTP, AS2, URL with Bearer Token, DMEDI, Remote Access, D365, Cloud, or Other. The required fields update to match your choice.

    💡Note: In the example below, we will select FTP.

  4. Fill in the credential details:

    • Name — Use your company name or another searchable label. This is not your FTP username.

    • Hosted By — Choose SPS Hosted if either SPS hosts the FTP or you do not have one, or select Customer Hosted if you host your own.

    • Username, Password, Port, and Host — Enter the actual FTP connection values here.

  5. Click Create to save the credentials.

💡Do not forget to activate: Credentials are stored but not yet active. Email Support@SPSCommerce.com to request activation of your new credentials.

Finding a credential later: Use the Organization Filter drop-down at the top of the Credentials list to search by organization or company name.


Step 3: View, Edit, and Share Credentials

From the Credentials tab, click the name of any credential to open its details. From here you can view the password, copy values, edit, archive/delete, or share access with other users in your organization.

  1. Click Show next to the password to reveal it or Copy next to any value to copy it to your clipboard.

  2. Click Edit (top right) to update the credential, or Archive to remove it.

Share Credentials Securely (Recommended)

Sharing through Access Controls is the secure, preferred way to give another user access to them. Never send passwords by email or chat.

  1. Click Access Controls (the second tab within the Credentials detail page), then click + Add New Access Control (top right).

  2. Set the Relation: Choose Reader for view-only access or Writer if the user should be able to edit the credential.

  3. Choose User or API Key, search for the person by name or email, click their name to select them, then click Create.

  4. Refresh the page after a moment. The new user access appears in the Access Controls list. Note: It may take up to a minute to display.

Remove Someone’s Access

  1. Click the ellipsis icon (…) next to the user’s access entry and select Delete, then confirm.

Sharing is org-internal only: Credentials cannot yet be shared directly with SPS through this feature.

Admin required: Sharing and editing credentials both require Organizational Admin access. If you do not see the Access Controls tab, contact your organization’s SPS admin.
