Providing Media (Images) in Assortment

In this article, we will walk through the two methods for adding images to your item records in Assortment.

Two Methods for Providing Media

In Assortment, item images can be provided in two ways:

  1. Image information, including URLs, may be added within the item import template.

  2. Image files can also be added directly through an upload into the Assortment application.

Image Guidelines

Prior to providing any images, it is important to understand the following image guidelines:

  • Images must comply with the GS1 Product Image Standards. Requirements to consider:

    1. Images should be on a white background (RGB 255/255/255).

    2. File resolution should be set at 330 ppi (pixels per inch).*

    3. Item should be centered in the image frame with a maximum of 5% white space.

    4. No packaging in the main image.

  • Images requirements will vary by trading partner; be sure to confirm your trading partners' requirements.

  • Images will assist buyers and customers to gauge interest in ordering products.

*Pixels per inch and image size can be found by right-clicking on the image file and clicking View Properties or Get Info.


Method 1 - Adding Images using the import template

  1. Download an Item Import template from Assortment.

  2. Provide all required item data, including the image's URL* .

  3. Upload completed template into Assortment.

  4. Upon a successful import of your items into Assortment, view items from the Items tab, including uploaded images.

*Images must be in URL format to be successfully uploaded. Neither FTP storage nor repositories for images are available options. Use an existing image URL or one of several online tools available to house images and create URLs.

URLs must contain an image extension (.jpg or .png) and must be a public link.


Method 2 - Adding Images via upload into Assortment

BEFORE UPLOADING IMAGES DIRECTLY INTO ASSORTMENT, PUBLIC ACCESS MUST FIRST BE ENABLED IN ASSORTMENT.

Per SPS Security standards, access to images defaults to private. Public Access is enabled via Media Settings.

Enabling Public Access allows your trading partner to view and download your images. If Public Access is not enabled, your trading partner will have no visibility to your uploaded images.

Enable Public Access

  1. Navigate to the Preferences Tab.

  2. Click on Media Settings.

  3. To enable Public Access, click the toggle button ON.

  4. After reviewing the Media Privacy Policy, click Accept and Save Changes at the bottom.

Adding Images via upload into Assortment

  1. Download an Item Import template from Assortment.

  2. Provide all required item data, not including the image's URL.

  3. Upload completed template into Assortment.

  4. Upon a successful import of the items into Assortment, on the Items tab, click on the Item to which images are to be added.

  5. Click Edit This Item at the bottom of the page.

  6. Select Media from the ITEM NAVIGATION.

  7. Click Add a Media Item.

  8. On the Media tab, enter attribute information relating to the Media you are going to upload. Media Type and Media Name are Mandatory.

  9. Click Upload Image.

  10. Drag and Drop the file into the Upload Your Image box or browse for the file on your computer.

    1. If the file passes the security screen and uploads successfully, a success message will display.

    2. If the file does not pass the security screen, the image will not be stored, and the the following message will display:

  11. Once the image has successfully uploaded, click Save.

  12. Additional images can be added by repeating the same steps.

Upload Guidelines

If image files will be uploaded directly into Assortment and be hosted by SPS, there are additional guidelines for those files that need to be followed.

  • Maximum file size = 20MB

  • File names should not exceed 64 characters

  • The supported file types are .jpg or .png.

  • When naming image files:

    • Don't use spaces in the file name. Example: my file name.png

    • Don't begin your file name with symbols, like "!". Example: !my_file_name.png

    • Avoid using periods before the file extension. Example: my_file_name..png
