What are Notifications

Notifications will help tailor automated emails to work best for you and your organization. Control who receives Notification emails based on Document Status and Trading Partner. You can adjust the grouping and frequency so that Notifications are effective for your needs.

Responding to these email alerts will send an email to our Customer Support Team.


How do I create Notifications

In the Settings tab go to Notifications.

If your notifications screen looks different, contact support to upgrade you to the latest version.

Click Add Notification.

Type & Name

Select the Notification Type to determine for which events you will receive a Notification:

  • New Document – A new document has entered your system (Order, Change, Text Message, etc.)

  • Auto Send – An Order Acknowledgement or Invoice that attempts to send has an error or warning that needs your attention.

  • Erred Document – A sent document that has not successfully left SPS Commerce's system (including System Automation documents).

  • Rejected Document – A sent document was rejected by your Trading Partner.

Recipient organization is a 3PL checkbox: This option limits notifications to order and shipment document types, ensuring your 3PL only receives essential updates without being inundated with notifications for all transaction types.


Trading Partner

Select the Trading Partners for which you would like to be Notified.

  • All – Notifications will include All Trading Partners that you are currently set up with.

    • Trading Partners that you add to your setup in the future will be included in this Notification.

  • Include – Notification will include Trading Partners that you select from this list.

    • Trading Partners that you may add to your setup in the future will not be included in this Notification.

  • Exclude – Notification will include all Trading Partners minus those selected in this list.

    • Trading Partners that you add to your setup in the future will be included in this Notification.


Grouping & Frequency

Select how the Notification will group Documents and Trading Partners and how often it should trigger.

  • One Per Document – You will receive an email for each document that meets your requirements. The time frame is not applicable.

    • Example: If 25 Target Orders enter your system, you will receive 25 emails.

  • One Per Trading Partner – Each Notification email will contain information relevant to a single Trading Partner within a selected time frame (15 min, 1 hour, 4 hours).

    • Example: If you selected the frequency of 1 hour and receive 15 Target Orders and 10 Walmart orders in 30 minutes, you will receive two emails.

  • Aggregate All Documents and Partners – Each Notification email will contain information for all documents and Trading Partners within a selected time frame (15 min, 1 hour, 4 hours).

    • Example: If you selected the frequency of 1 hour and receive 15 Target Orders and 10 Walmart orders in 30 minutes, you will receive one email.


People

Select who will receive the notification. All users in your organization will be displayed as recipient options.

  • You can select multiple people. Users can be added or removed once the notification has been created.

If you want to add a user who is not in the dropdown, all you need to do is invite that user to your organization; they do not have to have access to Fulfillment to receive notifications.

If you do not know how to invite a user to your organization, click here for instructions. The user does NOT need Fulfillment permissions to receive notifications. Adding Fulfilment permissions will result in a monthly user seat charge.

Manage Existing Notifications

All notification rules will be displayed on the Notifications page segmented by Notification Type.

Activation Toggle

The blue toggle will turn that Notification rule on/off.


More Actions

The three dots to the right of a rule will give you the options to:

  • Edit: Update the details of that Notification Rule with the same options available when creating new rules

  • Delete: Delete that Notification rule. An alert will warn you that this deletes the rule for all users attached to that rule.

  • Duplicate: Make a copy of the Notification Rule. You can then make edits to that rule without impacting the original rule.
